If you are interested in serving as a PTO Officer or Committee Chairperson, please review the description below. The responsibilities for each position are subject to change at any time. For many of the committees, two or more people could share the responsibilities of chairperson. If you have any questions about any of the roles, please email firstname.lastname@example.org.
PTO Executive Board
The President shall serve as leader and key contact for the PTO; preside at all PTO meetings; ex-officio member of most committees; appoint chairpersons for special committees; coordinate the work of the officers and committees so that the PTO’s objectives can be met. The Co-Vice President (Lead for all Activities/Events) shall act as an aide to the President; perform the duties of the President in the absence or inability of that officer to serve; assume other responsibilities as assigned by the Executive Board; coordinate the general activities and events of all Committees created by the Executive Board.
The Co-Vice President (Lead for all Communications) shall act as an aide to the President; perform the duties of the President in the absence or inability of that officer to serve; assume other responsibilities as assigned by the Executive Board; manage communications and marketing for the PTO, including but not limited to PTO newsletters, email broadcasts, website, bulletin boards, etc.
The Secretary shall keep the minutes of all general meetings and all meetings of the Executive Board; prepare correspondence and perform all other duties assigned; maintain master documents; keep the calendar of events for the PTO. A Co-Secretary will serve as the Membership Coordinator. The Membership coordinator shall organize the annual PTO membership drive and the on-going process to encourage membership. Maintain membership records as defined by the KCSMA PTO Bylaws. Effort is primarily in August and September.
The Co-Treasurers shall be responsible for and have custody of all funds; make disbursements as properly authorized; be present at all PTO events where money will be collected; assure that PTO policies and best practices are followed with regards to funds; prepare financial reports for each meeting and as needed; prepare the books for an annual audit.
The Hospitality chair shall coordinate any hospitality activities; including creating and assembling meet and greet packets. Responsible for purchasing and mailing all thank you, get well, sympathy and birthday cards for KCSMA Teachers and Staff and for sending flowers or gifts approved by the PTO Board. Assist with monthly Teacher Appreciation Luncheons.
The Staff Appreciation coordinator shall organize monthly teacher appreciation luncheons and to coordinate daily recognition for Teacher Appreciation Week. Works closely with Hospitality and Volunteer Coordinators.
The Room Parent Coordinator ensures all classrooms have Room Parents and coordinates training. Room parents work with the classroom teacher throughout the year to support the classroom needs. Responsibilities vary by grade but can include coordinating volunteers, communication, organizing in-class celebrations and other activities as requested by the teacher.
The Green Committee Coordinator ensures on-going maintenance of the KCSMA gardens and campus and oversees grounds improvements. Recruits volunteers to assist with gardening projects.
The Membership Coordinator will promote membership, collect membership forms and dues, track membership, keep records of membership, and handle all aspects of PTO membership.
Rewards Programs Coordinator leads the Box Tops for Education, Shoparoo, and other rewards programs at school. The Coordinator has many responsibilities, including: organize and submit all the Box Tops collected by the school; raise awareness about Box Tops in schools and communities; communicate the school’s earnings progress to school supporters; spread the word about new opportunities to earn with Box Tops.
The FBI (Fathers Being Involved) Coordinator is responsible for recruiting father figures (dads, uncles, grandfathers, guardians, etc.) to be Lunchroom “surveillance” on the last Friday of each month, assist in set up and clean up at PTO events and/or provide “Security” for PTO functions.
The Family Dinner Night Coordinator contacts local restaurants to set up dates and terms for fundraiser nights. Promotes each night to achieve maximum participation. Works with Treasurer to track income and ensure that monies come in as promised.
An Event Coordinator is responsible for coordinating all aspects of the event from set up through break down including logistics, volunteers, concessions, music/media, decorations, etc. Works with the vice president of communications to ensure proper, timely, and thorough advertisement of event is communicated. Recruits and manages volunteers (parents, students, and/or teachers) for the event to help with advertising, set up, running concessions, photos during event, chaperones, security, and break down. Works with the Treasurer to understand the set budget for the event, determine entry fees, manage expenses, and establish a projected return on investment. (Note: PTO Treasurer shall be the only person at events handling the exchange of money.)
